Position Summary

The Supervisor of Anatomic Pathology (AP) is responsible for staff supervision, materials management, and maintenance of laboratory policies and procedures within the Anatomic Pathology laboratories, which include the histology laboratory, surgical pathology gross room and frozen section laboratory, immunohistochemistry (IHC) laboratory, and cytology laboratory. The AP supervisor ensures efficient and effective departmental operations, including departmental quality control and compliance adherence.

The incumbent will report directly to the Administrative Laboratory Director of Pathology. This individual will bring expertise to coordinate and complete complex administrative tasks and support the operations of anatomic pathology laboratories. In collaboration with the Administrative Laboratory Director, Medical Director, Vice Chair, and Department Chair, this individual will assist with short-term and long-term strategic and administrative plans and work closely with the individual leads to provide high-level oversight to maintain the activity and workflows within each laboratory. They must demonstrate behavioral and managerial skills that contribute to a patient-oriented, safe, and productive work environment. They must provide excellent customer service to the faculty and staff of City of Hope National Cancer Center to improve patient outcomes.

Key Responsibilities include:

  • Meet the daily workflow functions of high workload/throughput Anatomic Pathology laboratories (surgical pathology laboratory, histology laboratory, immunohistochemistry laboratory and cytology laboratory).  
  • Directly supervises employees within their laboratory. Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws.
  • Responsibilities include assisting with interviewing, hiring, firing and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. Oversees the implementation of a succession planning within Anatomic Pathology.
  • Interview potential employees and make recommendations to the Laboratory Director and Medical Director.
  • Coordinate and supervise the AP Leads, Laboratory Assistants, and other support staff.
  • Assists with schedule as necessary to maintain adequate technical coverage while maximizing efficient utilization.
  • Maintain the upkeep of all AP diagnostic laboratories. Overseeing maintenance of supplies of reagents and other material at optimal levels.
  • Maintain the operation, testing, assessment of reproducible results to maintain high quality of diagnostic material.
  • Maintenance and retention of a highly qualified and motivated staff.
  • Any other duties required to sustain and maintain services of the highest quality to promote exceptional patient care and outcomes.
  • Use comprehensive knowledge of scientific theory, departmental, state, and federal policies and procedures to administrate Anatomic Pathology laboratories.
  • Understand and comply with policies and procedures to perform responsibilities.
  • Recognize, troubleshoot and resolve problems/adverse situations utilizing analytical thinking skills.
  • Guide and assist other staff in resolution of complex technical problems, recommending actions and evaluating outcomes.
  • Assist with the writing of SOP’s.
  • Maintains department’s records, reports, and files as required.
  • Coordinate activities within and between the four diagnostic laboratories and assist with short-term and long-term administrative decisions in collaboration with the Directors and Department Chair.
  • Provide oversight of the activities and workflows within each laboratory.
  • Works with Medical Directors and leads to resolve budgetary and/or laboratory operational issues. Monitors financials and serves as the secondary point-of-contact with other COH centralized offices.
  • Assist with the renovations, expansions, and development of space.
  • Evaluate, validate, and complete requirements for new methods and instrumentation in conjunction with Admin Director, Medical Director and Department Chairman of the AP laboratories.
  • Oversees the utilization of the Laboratory Information systems (LIS)  for the Anatomic Pathology to ensure best practices are followed for data tracking to include specimen chain of custody, utilization data, distribution data, etc.
  • Provides general oversight for the utilization and upgrades across the four AP diagnostic laboratories.
  • Promote and assist with quality assurance activities to ensure the highest quality outcomes.
  • Maintain and verify results through evaluation of assay/instrument parameters, including quality control, reagent performance, and calibrations.
  • Insure staffs are compliant, have the skills sets and tools to properly operate and maintain instruments and equipment.
  • Perform other work assignments as required to maintain\sustain and improve quality care and testing outcomes.
  • Follow policies/procedures/regulatory requirements and perform other work assignments.
  • Comply with all departmental and organizational policies and procedures in addition ensures employee’s compliance with HIPAA, CMS, CAP FDA etc., regulations as pertaining to specific diagnostic laboratories protocols and participate in corporate/departmental safety and quality activities.
  • Supervise the preparation for and participate in internal audits, external inspections (CAP, CMS, CDPH, FDA, etc.), proficiency testing surveys, and properly maintain records to fulfill the requirements of accrediting agencies.
  • Ensure compliance with safety regulations
  • In conjunction with the supervisors/leads, the Administrative Director is responsible for developing, implementing, coordinating and maintaining disaster preparedness and a recovery plan for the Division of Anatomic pathology.
  • Keep open communication lines to Chair, Administrative Directors, Medical Directors, Vice Chairs, pathologists, and AP staff to maintain operational efficiencies and affectability.
  • Notifies Administrative Director of any employee performance problems/issues as they occur
  • Identifies critical issues to be communicated in complex situations and gives clear instruction to section personnel.
  • Provides constructive feedback to the direct reports regarding employee performance for the performance appraisal system.
  • Keeps Administrative Director informed of the general morale of employees and brings to their attention employee issues that may require management intervention.
  • Brings to the Administrative Directors attention issues that have not been resolved through normal channels and that may significantly affect service levels to clients.
  • Maintain Continued involvement for staff and self in professional development through participation in educational opportunities to ensure continued adherence to standards and provision of quality laboratory care.
  • Actively seek out relevant educational experiences to stay current with Anatomic Pathology development of technologies and practices to maintain professional growth.
  • Oversee the on-boarding and assignment of new employees’ and\or students and strives to strengthen their understanding of theory and practices of laboratory practices.
  • Demonstrate professional responsibility and accountability by completion of training and competencies within the established deadlines for one self and direct reports.
  • Set annual work-related goals with director reports and demonstrate progression and/or achievement of goals.

Basic education, experience and skills required for consideration:

  • Bachelor’s degree and completion of a certified clinical program in medical laboratory sciences (Histopathology) or cytology or Pathologist Assistant Studies
  • 5 years of current experience in a lead/supervisor/management role in an anatomic pathology laboratory with a sound knowledge of best practices.
